Word Online- Access Keys for the Review Menu


In this video, I demonstrate the 8 access keys that are part of the Review menu in Word Online.

Hello everyone. It is James from the Visual Impairment Team in Devon.

In this video I am going to demonstrate keyboard shortcuts (or access keys) that you can use in Word Online.

On the technical side I will be using Word Online with the Firefox browser on a laptop running Windows 10.

More specifically in this video, I am going to show you the access keys that you can use to control the Review Menu in Word Online.

I have created videos of access keys that you can use to commands in the File Menu, the Home menu and the Insert menu and links to these can be found at the end of this video.

Most of the access keys that you can use in Word Online are the same as those in Word 2013 or Word 2016 but there are some differences because the software is accessed via your browser and not directly from your desktop.

So as you can see I have Word Online open on the screen before me.

It is very similar to the view that you would get if you were using the desktop version of Word.

The top of the page is dominated by the same ribbon toolbar which contains all of the functions within Word.

The cursor is flashing merrily away at the top of the document.

Now in order to access the toolbar using your keyboard, you need to press and hold the Ctrl button down and press the F6 key down three times.

Once you have done that letters appear above each of the menus; F for file, H for home, N for insert, P for page layout, R for review, and W for View.

Once you press one of these letters an individual menu opens up and all of the commands within it have access keys.

So let us have a look at the Review menu by pressing the R key.

The Review menu has 8 commands in it, so let’s have a look at the access keys for each one.

S Press the S key to check the spelling.

L Press the L key to access the Smart Look Up feature.

C Press the C key to add a Comment.

D Press the D key to delete a comment.

V Press the V key to go to the Previous comment.

N Press the N key to go to the Next comment.

K Press the K key to show all comments.

A Press the A key to display all the editing activity.

And that is it!

A Press the A key to insert Office Add- ins.

I Press the I key to insert a Link.

L Press the L key to insert a Comment.

H Press the H key to insert a Header or Footer

NU Press the N key then the U key to insert Page Numbers.

RF Press the R key then the F key to insert a Footnote.

RE Press the R key then the E key to insert an Endnote.

U Press the U key to insert a Symbol.

And that is it!

IR Press the I key then the R key to indent your text from the Right.

SB Press the S key then the B  key to insert a space before a paragraph.

SA Press the S key then the A key to add a space after a paragraph.

PG Press the P key then the G key to open up the paragraph formatting options.

And that is it!

So let us have a look at the Home menu by pressing H.

The Home menu has dozens of commands and so I will not look at them all.

In fact I will focus on what I consider to be the 14 most frequently used.

All of the following commands can only be used if you have selected some text.

I will just press and hold my Ctrl key down and then press the A key.

Cut, copy and paste are accessed from this menu and these are very well known shortcuts.

However, they shortcuts are slightly different.

To Cut press the letter X.  

To Copy press the letter C.

To paste, press the letter V.

To apply bold, press the number 1 key.

To italicise, press the number 2 key.

To underline, press the number 3 key

To change the font, press the letter F twice and then use your up and down arrow to select a new font.

To change the font size, press the letter F then the letter S and then use your up and down arrow to select a new size.

To change the Font Color, press the  letter F then the letter c and then use your up and down arrow to select a colour.
To add Bullet Points, press the U key.

To add Number points, press the N key

To align your text left, press the letter A then the letter L.

To align your text centre, press the letter A then the letter C

To align your text right, press the letter A then the letter R

And that is it!

In this video I am going to demonstrate keyboard shortcuts (or access keys) that you can use in Word Online.

More specifically in this video, I am going to show you the access keys that you can use to control the File Menu in Word Online.

To explain briefly, Word Online is a free and basic version of Microsoft Word that you can access or use via your browser to read and edit text documents.

All you need to do in order to start using Word is to sign up for a free Microsoft account which you can do by visiting Outlook.com.

Microsoft has created free and basic versions of most of its software online.

Most of the access keys that you can use in Word Online are the same as those in Word 2013 or Word 2016 but there are some differences because the software is accessed via your browser and not directly from your desktop.

So as you can see I have Word Online open on the screen before me.

It is very similar to the view that you would get if you were using the desktop version of Word.

The top of the page is dominated by the same ribbon toolbar which contains all of the functions within Word.

The toolbar is arranged into different menus; file, home, insert, page layout, review, view.

The cursor is flashing merrily away at the top of the document.

Now in order to access the toolbar using your keyboard, you need to press and hold the Ctrl button down and press the F6 key down three times.

So let us have a look at the File menu by pressing F.

The File menu has 8 commands;

I for Info. When you press I this gives you the option of editing the same document in the desktop version of Word (if you have it installed) or of viewing, restoring or downloading older versions of this document.  

To edit the document in Word, press your right arrow (and then enter)

To view, restore or download older versions of this document, press your right arrow and then your down arrow and then press enter.

To close the Info menu press the Escape key.

Pressing N allows us to create a New (Document) which opens up a menu full of different types of documents that you might like to create. These include a blank document, a resume (CV) or calendar.

Move between the different document types by pressing your right arrow then your down arrow.

Close the menu by pressing the Escape key.

Pressing O allows you to Open a (Document). This opens up a list of your most recently opened documents.

To move between these documents, press your right arrow and then use your up and down arrows.

Close the menu by pressing the Escape key.

A for Save As. Pressing A opens the Save As menu, which contains 5 different commands.

Save As allows you to create a copy of the existing document with a different file name. If you want to do this press A.

Rename allows you to rename the document- it doesn’t create another copy of it. If you want to do this, press R

Download a Copy allows you to download the document as a Word document. If you want to do this, press C.

Download as PDF allows you to download the document as a PDF document. If you want to do this, press P.

Download as ODT allows you to download the document as a ODT document. If you want to do this, press T.

Close the menu by pressing the Escape key.

P for Print, prints the current document. If you want to print the document, press your right arrow and then press the Enter key.

Close the menu by pressing the Escape key.

H for Share. Pressing H allows you to share or embed the document.

Pressing S allows you to share the document.

You can invite people or you can get a link and share it via email.

Since we are back in the document, I need to press and hold down the CONTROL key and press the F6 key three times.

I press F for File and H for sHare.

Pressing E allows you to place the document on a webpage or blog and you need to press the blue “Generate” button to embed the file.

Since we are back in the document, I need to press and hold down the CONTROL key and press the F6 key three or four times.

Pressing D takes us into the About menu. This is where you can get a trial of the latest version of Office for free and read some T&Cs!

Pressing L takes you into the Help menu.

Pressing L again will open up the help menu or pressing K allows you to give some feedback to Microsoft.

And that is it!

Outlook.com Keyboard Shortcuts For Writing & Sending Emails


Introduction.

In this video I demonstrate keyboard shortcuts that you can use in Outlook.com to help you write and send emails.

Hello everyone. It is James from the Visual Impairment Team in Devon.

In this video I am going to demonstrate keyboard shortcuts in Outlook.com or Outlook Web Access.

I will start with some technical information. In this video I will be using Microsoft Edge on a Windows 10 laptop.

The first step is to make sure that you have turned the keyboard shortcut settings on.

To do this you need to be signed into your email account and then in the top right hand corner select the gear icon in order to open the settings menu.

A drop down menu appears. Select options at the bottom of this menu.

Now, on the left hand side of the screen at the top, select general.

And then select keyboard shortcuts.

Now there are various options on the screen but for the purposes of this video, just select Outlook.com.

Go to the top of the page and select “save”.

Now select the back arrow for options at the top of your screen.

Now we are ready to go.

The list of shortcuts is vast and so in this video I will concentrate on some of the keyboard shortcuts that relate to writing and sending emails.

I will demonstrate 8 of them.

To create an email, just press the “n” key or if this doesn’t work press the Control and N key.

To send an email press Ctrl + Enter.

Now in terms of working within your inbox, to select your most recent email press your home key.

To select your oldest email (in your inbox) press the end key.

To move between these emails use your up and down arrows.

To open a selected email press the o key or the enter key.

To reply to a selected email press the r key.

To forward an email press the shift key and the f key.

To close an email press the Esc key.


And that is it! 8 keyboard that you may need when you are writing and sending your emails in Outlook.com
